Coordinate Your Calendar of Activities to Reduce Your Risk and Increase Your Exposure to Success

Coordinate Your Calendar of Activities with the Activities around you. Make a list all activity dates that you need to avoid conflicts. In the world today it is easy to be very busy with nonproductive things. By dividing work and play you can be more effective in your achievements of the group you are involved in. With the Day planners and virtual calendars it is easy to separate the calendars and miss coordinate. A simple error but very frustrating when this occurs.

Put these scheduled activities on a reference calendar. You can put them on your calendar for reference or use a separate calendar for reference. You do not have to print these activities on your program calendar but you do need to have them before you when you are planning your activities in order to avoid conflicts in the schedule. Now, take your list of activities that you want to schedule and put them on your monthly calendar pages. Make a list for each month. After listing all the activities for each month, get twelve blank monthly calendar forms and assign specific dates to each activity and record them on the calendar worksheets. Put plenty of thought into your planning. A well thought out plan if fun to work because most of the time it works as planned. Avoid conflicts at all cost. Know what competition of you have against you in your endeavors.

Now you are ready to plan your annual calendar with details. Now that you have a list of the activities that you would like to plan and put them in the order of priority you need to put them on calendar planning sheets. Which one do you want to achieve first. Start with the annual activities, then quarterly activities, then monthly activities and then the weekly activities. Divide the monthly pages into the proper number of weeks. First put your Annual Activities in the month that you plan to schedule them. (Youth Camp, Valentine Banquet, Awards Banquet, Christmas or New Years Party, Fall Festival for youth and children as a substitute for Halloween, Vacation Bible school, Beach Trips, State Youth functions, annual rallies and seminars, etc.)

Next, list your Quarterly Activities, (Retreats, Parties, Fellowships, Athletic leagues and teams, Dramas, Bible studies curriculum schedules, etc.) Next, List the Monthly Activities. Many of these activities will be repeat activities. Now, list all Weekly Activities - activities that meet each week. List the repeating activities in the appropriate weeks. Organization is key to having a smooth running program whether it is mechanical or philosophical, a smooth procedure achieves greater results.

Annual Calendar Planning ideas. Bible Studies, Youth Camp, Christmas Break Retreat, summer Retreat, Spring Break Retreat, Spiritual Renewal Retreat, Parties, Major holidays, after game Fellowships, special Programs, Summer Canoe Trip, Fun Trip to Disney world or Adventure park and snow skiing trip. Once you have all of the activities listed by dates and your calendar is complete, you need to coordinate your completed calendar of activities with other programs of your local area and organization to make sure there are no duplications or conflicts. Once you have your calendar planned you need to meet with your leaders and share your calendar with them and get any input that they mas be able to assist you with for the success of your program. After scheduling the calendar it is time to start enlisting volunteers to help.
